Terms & Conditions for Membership and Event Participation
These Terms & Conditions apply to all individuals and families participating in any activity organized by The Field Trip Society of NJ, whether participating as a member, non-member, guest, volunteer, or attendee. For purposes of these Terms, "Event" includes, but is not limited to, field trips, classes, workshops, meetups, community gatherings, educational programs, and any other activity organized or facilitated by The Field Trip Society of NJ.
Membership in The Field Trip Society of NJ provides access to all Events, the Field Trip Connect app, physical and digital passports, member-only exclusive offerings including classes, workshops, activity guides, and all future benefits. Members receive community communication, trip announcements, and are eligible to register for organized Events. Membership grants eligibility to register for Events but does not guarantee availability, admission, or participation in any particular Event, as capacity limits, venue restrictions, age requirements, or other limitations may apply.
Membership pricing is published on The Field Trip Society website and may be updated periodically. Families who qualify for special promotional or founding member pricing will retain those rates in accordance with the applicable offer terms.
Event fees may include, but are not limited to the cost of tickets, admission fees, materials, transportation, or any other expenses associated with individual Events. There are free Event options each month.
The Field Trip Society of NJ shall not be liable for cancellations, delays, or changes caused by circumstances beyond its reasonable control, including but not limited to severe weather, natural disasters, public health emergencies, government actions, transportation disruptions, venue closures, or other unforeseen circumstances.
Families are responsible for arranging their own transportation to and from all Events unless otherwise expressly stated. The Field Trip Society of NJ does not provide transportation services at this time.
Membership fees are non-refundable, except where required by law. Canceled memberships remain active through the end of the current membership term.
Individuals registering for membership or Events agree to receive communications necessary to administer memberships, registrations, schedule changes, cancellations, safety information, and other important administrative updates.
Event Refund & Cancellation Policy
All Event registration fees and other Event-related fees are final and non-refundable once payment has been submitted, as tickets and group reservations are secured with third-party venues.
However, we understand that unforeseen circumstances may arise. The following options may be available at our discretion:
1. Replacement Participation Option
If a registered family is unable to attend an Event, The Field Trip Society of NJ will make reasonable efforts to assist in finding a replacement family to attend the Event in their place.
If a replacement family is found and completes payment, the original family will receive a full refund of their Event registration fee.
There is no guarantee that a replacement family will be found.
Refunds are issued only after the replacement participant's payment has been successfully processed.
2. Venue Exchange Option
In some cases, and depending on the venue's policies, we may assist families in exploring the possibility of exchanging tickets for an alternative date or Event offered by the same venue.
Exchanges are subject to venue availability and venue approval.
The Field Trip Society cannot guarantee that an exchange will be permitted by the venue.
Any fees, restrictions, or limitations imposed by the venue are outside of our control.
Additional Notes
Missed trips without advanced notice, late arrivals, and no-shows are not eligible for refunds.
Transportation, meals, and personal expenses are the responsibility of each family unless otherwise stated.
The Field Trip Society of NJ reserves the right to modify or cancel an Event due to unforeseen circumstances, including low enrollment, extreme weather, or venue changes. In such cases, registered families will be notified provided with appropriate next steps.
Community Expectations & Conduct
The Field Trip Society of NJ is committed to fostering a safe, respectful, and inclusive environment for all families.
Bullying, harassment, violence, or harmful behavior of any kind will not be tolerated.
Parents or legal guardians are solely responsible for the supervision, safety, behavior, medical needs, and personal belongings of their children throughout each Event unless a child has been specifically entrusted to an authorized program representative.
Any behavior (by child or adult) that negatively impacts the safety, well-being, or experience of others may result in immediate removal from an Event, the community, and access to membership.
Parents and guardians are responsible for enforcing safety parameters for their family as Events occur in public places. This includes, but is not limited to maintaining awareness of their children at all times and taking any reasonable precautions they deem appropriate for their family's safety.
The Field Trip Society of NJ reserves the right to suspend or cancel a membership at any time, without refund, if a member or their family's behavior is deemed harmful, disruptive, or inconsistent with the community's expectation of safety and respect. The Field Trip Society of NJ reserves the right to refuse participation or registration for any Event if doing so is reasonably necessary to protect the safety, well-being, or positive experience of participants or the integrity of the community.
Individual Venues
Individual venues may establish additional rules, safety requirements, age restrictions, or participation requirements. Members agree to comply with all venue policies and understand that The Field Trip Society of NJ is not responsible for the actions, operations, or services provided by third-party venues.
Liability, Assumption of Risk & Release
By registering for and participating in any Event organized by The Field Trip Society of NJ, members acknowledge that participation involves inherent risks, including but not limited to accidents, injuries, illness, allergic reactions, transportation incidents, interactions with animals, weather conditions, use of equipment, and any other known or unknown risks or hazards associated with participation.
Participation is voluntary, and each family assumes full responsibility for the safety, supervision, and conduct of themselves and their family members throughout the Event unless a member has been specifically placed under the supervision of an authorized representative of The Field Trip Society of NJ.
To the fullest extent permitted by law, participants voluntarily assume all risks associated with participation and release, waive, and hold harmless The Field Trip Society of NJ, its owner, volunteers, organizers, representatives, affiliates, sponsors, partner organizations, and host venues from any claims, liabilities, demands, damages, losses, or expenses arising from participation in any Event, except where prohibited by law or resulting from gross negligence or willful misconduct.
The Field Trip Society of NJ does not provide medical, accident, health, or liability insurance for participants. Each family is responsible for maintaining appropriate insurance coverage and for determining whether an activity is appropriate for themselves and their family members.
Parents or legal guardians are responsible for informing themselves of any activity risks, ensuring that participants are physically able to participate, and bringing any required medications or emergency medical supplies.
If emergency medical treatment becomes necessary and a parent or legal guardian cannot be reached immediately, The Field Trip Society of NJ may seek emergency medical assistance on the participant's behalf. The family accepts full responsibility for any resulting medical treatment, transportation, and expenses.
Additional venue-specific rules, participation requirements, or waivers may apply when required by the host venue.
Release of Claims
By accepting these Terms & Conditions, members voluntarily release and hold harmless The Field Trip Society of NJ, its owner, volunteers, organizers, representatives, and affiliates from any and all claims, demands, causes of action, damages, losses, or liabilities arising from participation in Society Events, except where prohibited by applicable law or resulting from gross negligence or willful misconduct.
Medical Information
Parents are responsible for informing themselves of any Event risks and for ensuring their family member is physically able to participate. Families are responsible for carrying any necessary medications, including emergency medications such as inhalers or epinephrine auto-injectors, and understanding potential allergy risks.
Photography & Media
Photos or videos may be taken during Events for internal documentation, social media, website, marketing, or promotional purposes. Photo and media consent is collected during each individual Event registration. Families who decline consent will not have identifiable images intentionally used in promotional materials.
Policy Updates
The Field Trip Society of NJ reserves the right to update or modify these Terms & Conditions at any time. The Field Trip Society of NJ will post the most current version of these Terms & Conditions on its website. Continued membership or participation in Events after the updated Terms & Conditions are posted constitutes acceptance of the revised Terms & Conditions.
Governing Law
These Terms & Conditions shall be governed by and interpreted in accordance with the laws of the State of New Jersey, without regard to its conflict of law principles.
Severability
If any provision of these Terms & Conditions is determined to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.
Acceptance
By selecting "I Agree" during membership registration or any individual Event registration, you acknowledge that you have read, understand, and agree to these Terms & Conditions. You understand that your electronic acceptance has the same legal effect as a handwritten signature and applies each time you register for or participate in an Event organized by The Field Trip Society of NJ.
